Terms and Conditions – Palcoyo Tour

Once you have selected a tour program, please read the following terms and conditions carefully. Your reservation is subject to the terms outlined below. Payment for any Palcoyo Tour reservation constitutes acceptance of these terms and conditions and is binding for all tours.

General Conditions

  • The program may be modified depending on weather conditions, road access, and group preferences.

  • Palcoyo Tour is not responsible for any loss or damage to personal belongings or any resulting consequences.

  • We are not liable for any illness, accident, or injury that may occur during the tour. All related medical or logistical costs are the sole responsibility of the client.

  • Clients are responsible for any equipment lent to them. In case of damage or loss, the full cost must be reimbursed upon return to Cusco.

  • Clients confirm that they are in good physical and mental health. Palcoyo Tour is not liable for consequences resulting from failure to disclose health issues.

Booking Procedures (Deposit)

  • Please contact us before making any payments.

  • A 50% non-refundable deposit per person is required to confirm your booking. This deposit signifies a contract between you and Palcoyo Tour, after which we will confirm your reservation.

  • This pre-payment can be made via Western Union, PayPal, or online transfer. All bank fees and transfer costs must be covered by the client.

Payment of Remaining Balance

  • All prices are in U.S. dollars. The final payment must be made at least 24 hours before the tour departure at our office.

  • We accept cash (USD or PEN) and Visa (8% commission applies).

  • The agreed price at booking will not change, regardless of currency fluctuations or other variables.

Cancellation by Client

  • Cancellations must be submitted in writing. Please explain the reason, as it may be covered by your travel insurance.

  • If cancellation is made:

    • More than 15 days before departure: only the 50% deposit is lost.

    • Between 15 and 7 days before: 50% refund only if full payment was made.

    • Less than 48 hours before departure: no refunds will be issued.

Cancellation or Changes by Us

  • In events beyond our control (e.g., weather, strikes, government actions), Palcoyo Tour reserves the right to adjust the itinerary or offer alternative options. No refunds will be provided in such cases.

  • If significant changes occur, we will inform you as early as possible and propose similar arrangements. All additional costs incurred will be the responsibility of the client.

  • We are not liable for additional expenses incurred by clients in preparation for the trip (e.g., international flights, visas, vaccinations).

  • In case of cancellation caused directly by Palcoyo Tour, you will receive a 100% refund.

Acceptance of Risk

Some Palcoyo Tour itineraries involve adventure and exposure to natural environments, which carry inherent risks such as injury, emotional stress, or even death. By participating, you accept and assume these risks voluntarily and release Palcoyo Tour from liability.

Tour Authority

  • The decisions of the tour guide or company representative are final, especially when it concerns safety.

  • Clients must follow the guide’s instructions at all times and respect local laws, including strict anti-drug regulations.

  • Disruptive or dangerous behavior may result in removal from the tour without refund.

Travel Documents

All clients must have a valid passport or identification and carry it (or a copy) during the tour.

Travel Insurance

We strongly recommend that all clients obtain comprehensive travel insurance covering medical emergencies, evacuation, trip cancellation, and baggage loss.

Third-Party Services

While Palcoyo Tour operates some services directly, we also work with airlines, hotels, and other providers. We carefully select partners but cannot be held responsible for their actions, delays, or service issues.

Claims and Complaints

  • If you have a complaint during the tour, please notify your guide immediately so we can address the issue.

  • Further complaints must be submitted in writing within 7 days after the tour ends.

  • Legal jurisdiction for all disputes is in Cusco, Peru, under Peruvian law.

  • Any claim will be limited to the amount paid for the tour. We exclude liability for indirect or consequential losses.
